Why send the documents first
The lease documents define the scope of any landlord-side dilapidations claim. Sending them at the outset makes it easier to identify the relevant repairing, reinstatement, decoration, and yield-up obligations before inspection scope is agreed.
Early review of the paperwork also helps separate what is clearly recoverable from issues that may depend on qualification, prior agreements, licences to alter, or any schedule of condition attached to the lease.

What to send
If available, the following documents are particularly helpful at the start of a landlord instruction:
- The lease and any supplemental documents, including licences to alter or side letters.
- Any existing schedule of condition, reinstatement information, or prior dilapidations correspondence.
- Proposed inspection dates, property address details, and any key lease-end dates.
- Drawings, photographs, or notes about items already known to be in dispute.
What happens next
- The lease and supporting papers are reviewed to identify the obligations that matter most for inspection and schedule scope.
- Inspection timing, access, and the likely form of the schedule or quantified demand are considered.
- You receive advice on the immediate next steps, including whether any further documents or site information are needed.
If you do not yet have everything
Send what you do have. A partial lease pack, draft heads of terms, or a short note explaining the tenancy and timing is still useful at the outset.
If the instruction is time-sensitive, it is better to make contact first and add the remaining documents shortly afterwards.
